Procurement Specialist

The Procurement Specialist is a key member of the hotel's operations team responsible for executing, completing, and ordering all daily allocated and authorized purchase requests and orders concerning hotel and storeroom needs.

• Complete all administrative procedures concerning allocated requests and orders from receipt through the system until the item/service is physically delivered or rendered to the property.
• Select the best price and quality quotations for all received orders upon order allocation confirmation ensuring the best delivery schedule based on understanding needs and vendor stated periods.
• Clarify any concerns regarding purchase requests including description, units, quantities, and specifications directly with the initiating department personnel.
• Coordinate with buyers on matters concerning allocated requests best practices for processing quotes and completing delivery within a logical timeframe.
• Verify and follow up on all pending orders approved and under approval through system reports or by reporting concerns.
• Ensure that all approved and authorized purchase orders are promptly forwarded faxed or delivered to vendors.
• Follow up on daily market list deliveries and report any discrepancies.
• Review and update all personally entered locked price quotations supplier data and validity dates.
• Coordinate with vendors for new products available in the market as potential alternatives inform concerned parties and request samples for testing ensuring products are of equal or better quality and price.
• Inform about market offers discounts cost-saving substitutes and potential brand shortages to benefit the property.
• Operate in a safe and environmentally friendly manner to protect guests' and employees' health and safety and to conserve the environment.

This role requires excellent negotiation communication and vendor management skills as well as a strong understanding of procurement processes and procedures. The ideal candidate will have experience in a similar role preferably in a hotel or hospitality setting and will be able to work effectively in a fast-paced environment.
