Key Responsibilities

The role of Meeting and Events Coordinator involves coordinating meetings and events from start to finish. This includes booking hotels, generating proposals, creating contracts, and following up with customers.

  1. Ensure that all lead requests are handled as per the policy and within the lead handling timeframe.
  2. Follow up on sent offers to ensure they meet guest requirements.
  3. Prepare offer letters according to guest specifications while adhering to company standards.
  4. Personalize and execute events for meeting planners.
  5. Maintain timely and responsive communication with all accounts and prospects.
  6. Assess group business to maximize room revenue while achieving Meetings and Events budgets.
  7. Yield all leads prior to sending out the offer letter, regarding venue assignment or rates offered, and seek required approval to confirm the booking.
  8. Manage the Sales and Catering PMS according to company policy and standards.
  9. Refer unconfirmed bookings to sister properties.
  10. Communicate with Meetings and Events Operations during events to ensure guest satisfaction.
  11. Seek feedback on rates, availability, and offer letters from department heads.
  12. Be aware of available equipment in the hotel.
  13. Provide assistance and direction to the Meetings and Events Operations team.
  14. Fully comply with the hotel's credit policy by obtaining pre-payment or approved credit letters for all events.
  15. Prepare Event Orders according to departmental standards and ensure proper distribution.
  16. Inspect function areas before events to ensure setups meet customer specifications.
