The Department of Neurology is seeking a Medical Training Program Coordinator. The Department is seeking a motivated, friendly, and organized team member to help coordinate educational and programmatic activities for a friendly group of child neurologists in training. 

The Medical Training Program Coordinator will provide support to a Child Neurology residency program (currently 11 residents with plans to increase the resident complement to 12 by July 2026) to coordinate administrative processes related to the function of the program.

Specific Duties & Responsibilities

  • Develops and maintains record management tools needed for program. Generates routine and ad-hoc reports as required. Coordinates activities related to the annual residency recruitment process. Reports to the Sr. Academic Program Manager and the Residency Program Director and Associate Director. Works in conjunction with and provides support to the Program Administrator for the Adult Neurology Residency Program.

Residency Recruitment

  • Coordinate the process to review all residency applications and the selection of applicants for interview.
  • Schedule applicants for interviews and establish interview schedules.
  • Coordinate all arrangements required needed for the interview process (either in person - ordering breakfast/lunch, planning, planning resident/applicant dinners, tour of facilities, etc, or virtual – Thalamus or Zoom interface, email contacts, etc). Interface with residency applicants to provide program information and address other needs related to the interview process.
  • Compile faculty ratings from interviews and prepare preliminary rank list.
  • Participate in the Faculty Meeting to rank the applicants.
  • Work in tandem with General Pediatrics in this process as they interview our applicants as well. In conjunction with the program director, prepare final rank list for submission.

Residency On-going Coordination

  • Work closely with the Program Director and Associate Program Director to help in the coordination of the Child Neurology residency.
  • Hold weekly office hours with residents.
  • Set orientation schedule/agenda and schedule speakers for an administrative overview as well as for a clinical-academic related overview.
  • Prepare orientation manual and/or handouts.
  • Compile information to help the residents acclimate to the department.

Programmatic/Compliance Issues

  • Create and maintain individual portfolios for all trainees to include credentialing documentation, evaluations, compliance reports and other related materials.
  • Administer the New Innovations system used to evaluate the medical students, residents, faculty, and program curriculum as required by ACGME regulations.
  • Ensure evaluations are scheduled for distribution, monitor completion of evaluations, and compile data for review by program director.
  • Participate in the development and execution of systems to monitor program compliance with ACGME regulations and policies as well as Institutional requirements.
  • Monitor resident compliance with duty hour policy.
  • Prepare reports for submission to the program director and graduate medical education office.
  • Attend, help take minutes at resident meetings and coordinate attendance.
  • Coordinate and monitor the SANS testing process to ensure residents and completing modules as scheduled.
  • Help residents sign up for Neurology board examinations.
  • Act as a liaison for the residents for outside industry, requests, interviews, and email/phone contacts as needed.
  • Annually update program information for GME tracking (FREIDA) website.
  • Complete annual update of Web Ads (ACGME) website.
  • Handle residents' educational and travel funds to include producing statements for residents which reflect the processing of any/all reimbursements and their current educational fund balance.
  • Ensure that allowances are spent appropriately based on departmental policies for use of these funds.
  • Work closely with the Adult Neurology residency program administrator in many ways - very much a team-based approach - combined recruitment, resident meetings, social events, orientation, and as a backup for each other during vacations, absences, etc.
Minimum Qualifications
  • High School Diploma or graduation equivalent preferred
  • Three years of office administration experience, preferably in a healthcare and/or education setting
  • Additional education may substitute for required experience, and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.
