Location: Jalan Bani Bu Hassan, Al Sharqiyah Region, Sultanate of Oman (Two weeks at Jalaan and two weeks at Muscat (Head Office))
Job Purpose:Support the HR Manager in executing and coordinating daily Human Resources and administrative functions across farm and office operations. The HR Lead is responsible for maintaining accurate employee records, monitoring attendance, assisting in payroll and recruitment processes, coordinating visa and insurance matters, managing travel arrangements, and ensuring proper site-level administrative services. The role ensures compliance with internal policies, Oman Labor Law, and external audit requirements, while providing timely support to employees and operational departments.
Responsibilities:- Assist in manpower planning and recruitment processes including job postings, interview coordination, employment contract preparation, and onboarding documentation.
- Maintain up-to-date employee records in both hard copy and ERP systems (Microsoft Dynamics 365 / Oracle), including personal files, contracts, warnings, visa details, and insurance documents.
- Monitor employee attendance via biometric and ERP systems, prepare monthly attendance reports, and validate overtime, late arrivals, and absences to support accurate payroll processing.
- Coordinate with the HR Manager and Finance Department to ensure timely and accurate payroll execution, including data entry, leave balances, and allowances.
- Track visa, labor card, and residency expiry dates and prepare required documentation for renewals, medicals, and labor clearances in coordination with the PRO.
- Support employee relations by handling basic queries related to leave, salary, insurance, and travel, and assist in issuing warning letters, internal memos, and disciplinary forms.
- Manage medical and workers' compensation insurance matters, including enrollment, deletions, claim submissions, and coordination with insurance brokers.
- Book air tickets for new joiners, business travel, and staff annual leave, and coordinate related logistics such as hotel reservations and transport requirements.
- Handle site-level administrative support including the distribution of uniforms, ID cards, SIM cards, and stationery; assist in managing housing, camp rosters, and company transport schedules.
- Supervise general support staff (cleaners, drivers, admin helpers) and ensure smooth daily site operations in line with health and safety standards.
- Prepare and organize employee documentation for internal, external, and OIA audits, ensuring files are complete, updated, and compliant with HR policies and regulatory requirements.
- Generate regular HR reports (e.g., headcount, leave summaries, visa tracking) and support the HR Manager with data for compliance reviews and manpower submissions.
- Diploma or Bachelor's degree in Human Resources, Business Administration, or related field.
- 4-6 years of relevant HR/admin experience, preferably in field-based industries.
- Familiarity with Oman Labor Law, visa processing, insurance handling, and ERP systems.
- Proficiency in MS Office and attendance systems.
- ERP & Data Handling: Proficient in HR modules of ERP systems (e.g., Microsoft Dynamics, Oracle).
- HR Administration: Accurate in documentation, contract processing, and employee file maintenance.
- Time Management: Ability to manage multiple operational requests and deadlines under pressure.
- Problem Solving: Handles routine employee issues professionally and escalates when needed.
- Communication: Clear verbal and written communication in both Arabic and English.
- Confidentiality: Maintains strict confidentiality in handling HR records and sensitive information.
- Team Coordination: Works well with cross-department teams including operations, finance, and logistics.
- Adaptability: Flexible to handle HR and admin functions in remote/farm locations.
- Audit Support: Organized in file preparation and understanding of compliance checklists.
- Customer Service Attitude: Cooperative and responsive to staff requests and operational needs.
