Financial Operations Manager
About the Role

The Financial Operations Manager is responsible for overseeing the end-to-end financial operations of a community management organization. This involves maintaining the integrity of financial records, ensuring compliance with statutory regulations, and managing the smooth execution of financial operations related to community management.

The ideal candidate must uphold the highest standards of integrity, accuracy, and accountability in their work. They will also support the core objectives and values of the organization, contributing to the development of a cohesive, transparent, and thriving community.


Key Responsibilities
  • Accounts Payable & Cost Monitoring:
    • Process and record vendor invoices, ensuring accuracy and completeness of supporting documentation.
    • Manage timely payments in accordance with contractual terms.
    • Monitor and analyze cost variances between actual vendor payments and budgeted/contracted amounts. Investigate discrepancies and coordinate with relevant departments to take corrective action.
    • Prepare and review weekly bank reconciliations for multiple bank accounts.
    • Investigate and resolve discrepancies to ensure the accuracy of financial records.
    • Manage and administer the Community Petty Cash account.
  • Service Charges & Revenue Management:
    • Generate quarterly service charge invoices for unit owners based on approved budgets.
    • Assist in the preparation and posting of month-end and year-end accruals using budgeted and contractual figures.
    • Prepare and submit monthly financial reports, including accounts receivable and collection updates, to the Corporate Finance Team.
    • Finalize and maintain books of accounts in accordance with IFRS and local laws.
    • Coordinate with external auditors during year-end audits: prepare audit schedules, respond to queries, and ensure timely audit closure.
  • VAT & Regulatory Compliance:
    • Accurately compute, document, and file VAT returns in line with local tax laws and submit them to the Corporate Finance Team.
    • Maintain complete and up-to-date VAT records to support audits or regulatory inspections.
  • Budgeting & Forecasting:
    • Support the Management Accountant in preparing annual budgets for multiple Communities of Owners Groups (COGs) and the Master Community.
    • Liaise with the Customer Experience (CX) Team to review and verify unit owner account statements, ensuring all dues are cleared before property resale.
  • Documentation & System Support:
    • Maintain organized and up-to-date financial records both digitally and in physical files.
    • Assist with system implementations or upgrades, staff training, and process improvement initiatives.
  • Customer Service:
    • Address service charge-related queries from unit owners, ensuring clear, accurate, and professional communication at all times.
  • General Responsibilities:
    • Perform any additional duties reasonably assigned by the Senior Manager.
    • Adhere to operational standards and policies at all times.

Qualifications & Experience
  • A bachelor's degree in accounting, finance, business administration, or a related field.
  • 3–5 years of relevant experience, ideally within the real estate or property management sector.
  • Strong understanding of accounting principles, IFRS, and local tax regulations (including VAT).
  • High attention to detail with excellent analytical and problem-solving skills.
  • Proficiency in accounting software and advanced MS Excel skills.
  • Strong communication and interpersonal abilities.
