Job Summary:
We are seeking a dedicated
Process Counselor
to support students and their families through the university admissions journey. This role is vital in helping students understand the admission requirements, timelines, documentation, and visa processes for global higher education. The Process Counselor will also play an advisory role in university selection, career planning, standardized testing, and profile building, ensuring a seamless and personalized experience for each student.
Key Responsibilities:
Student & Parent Engagement
- Meet with students and families to understand academic history, preferences, and career goals
- Set clear expectations, timelines, and application milestones
- Build strong relationships with students to ensure trust and transparency
University & Course Guidance
- Support university research and destination selection based on eligibility, financial status, and personal goals
- Consider external factors such as immigration pathways, geopolitical safety, and post-study opportunities
- Tailor university shortlists and guide students through application decisions
Application & Process Support
- Assist students in completing university applications with accuracy and timeliness
- Ensure all supporting documents, essays, and forms are submitted correctly
- Coordinate with students on preparing SOPs, LORs, and personal statements
- Maintain compliance with all institutional and application platform requirements
Standardized Testing & Profile Enhancement
- Advise students on suitable entrance exams (SAT, ACT, UCAT, etc.)
- Recommend academic support resources and prep services as needed
- Guide students on enhancing profiles through extracurriculars and leadership activities
Scholarship & Financial Planning
- Provide updated information on scholarship opportunities and eligibility
- Assist families in understanding financial requirements, payment plans, and application costs
Visa & Accommodation Support
- Assist students with visa application procedures, including document checks and timeline tracking
- Provide recommendations for accommodation options and support families during the transition phase
Communication & Feedback
- Keep parents regularly updated on student progress, deadlines, and next steps
- Respond to student/parent queries within 24 hours
- Collect feedback to ensure continuous improvement in counseling services
CRM & Documentation
- Maintain accurate and updated student records in the CRM and MIS tools
- Track application statuses, test scores, and communications for transparency
- Collaborate with internal teams for seamless service delivery
Key Skills & Qualifications:
- Education:
Bachelor's degree in Counseling, Education, Business, or related field (preferred) - Experience:
3–4 years in student admissions, visa processing, or university counseling - Knowledge:
University admissions systems (UCAS, Common App, OUAC), test requirements, and scholarship processes - Communication:
Strong written and verbal communication with excellent presentation skills - Student-Centric:
Demonstrated ability to understand and meet diverse student needs - Tech Proficiency:
Experience with CRMs, Microsoft Office, Google Workspace - Problem-Solving:
Quick decision-making and guidance tailored to each student's journey - Organizational Skills:
Ability to handle multiple cases while meeting all deadlines
