1. Job Purpose
The Supervisor – Distribution & Procurement is responsible for managing and overseeing the daily operations of the distribution and procurement functions to ensure efficient, cost-effective, and compliant operations. This includes supervising fleet and logistics activities, coordinating material and product procurement, ensuring adherence to quality and safety standards, and driving process improvements. The role also focuses on ensuring timely deliveries, optimal resource utilization, and maintaining high customer satisfaction levels through effective planning and coordination.
2. Roles and ResponsibilitiesDistribution Operations:
- Supervise and coordinate daily operational activities within the distribution department.
- Plan and assign delivery routes, monitor fleet performance, and ensure timely dispatch and delivery of goods.
- Monitor vehicle maintenance schedules and availability to ensure maximum fleet utilization.
- Act as the first point of contact for distribution-related escalations and resolve operational issues promptly.
- Ensure compliance with safety, quality, and company operational policies and procedures.
- Prepare and maintain accurate operational records, reports, and documentation (delivery logs, fuel usage, route efficiency reports, etc.).
- Liaise with warehouse and customer service teams to ensure smooth and efficient order fulfillment.
- Drive continuous improvement, cost optimization, and process standardization initiatives within distribution operations.
Procurement Operations:
- Support procurement planning and execution to ensure the timely availability of materials, spare parts, and services required for operations.
- Source suppliers, obtain quotations, and negotiate pricing and terms to achieve cost-effective purchasing.
- Evaluate vendor performance based on quality, delivery timelines, and service level.
- Prepare purchase requisitions, purchase orders, and maintain procurement documentation in line with company policies.
- Coordinate with finance for invoice verification and payment processing.
- Maintain and update supplier databases, price lists, and procurement records.
- Collaborate with internal departments to forecast material needs and align procurement with operational requirements.
- Ensure adherence to procurement policies, ethical standards, and compliance with legal requirements.
People Management:
- Supervise, train, and coach team members to improve operational efficiency and productivity.
- Conduct regular team meetings to review performance, communicate goals, and address operational challenges.
- Promote a culture of teamwork, accountability, and continuous improvement.
3. Qualifications, Experience & Skills (Competencies)
Education:
- Bachelor's Degree in Supply Chain Management, Logistics, Business Administration, or a related field.
- Professional certifications in supply chain or procurement (e.g., CIPS, APICS) are an added advantage.
Experience:
- 5–8 years of experience in distribution, logistics, or transportation management, including at least 2–3 years in procurement operations.
- Proven experience in fleet supervision, vendor coordination, and process optimization.
- Strong background in operational planning, reporting, and cost control.
Skills & Competencies:
- Excellent knowledge of distribution systems, fleet management, and procurement processes.
- Strong negotiation, analytical, and problem-solving skills.
- Proficiency in MS Office and ERP systems (e.g., SAP, Oracle, or similar).
- Ability to lead and motivate teams effectively.
- Excellent communication and coordination skills.
- High attention to detail and ability to manage multiple priorities under pressure.
- Commitment to safety, quality, and continuous improvement.
