Job Purpose:

The Officer - Administration (Admin) & Reservations orchestrates administrative and reservation operations within the bank, ensuring seamless handling of bookings and robust inventory management. He/She facilitates effective coordination with vendors, administers the reservation system, and ensures compliance with internal policies. The Officer - Admin & Reservations maintains operational continuity, responds to inquiries, and optimizes customer service outcomes, while managing and replenishing inventory to support the Bank's departments and functions.

Key Accountabilities:

  • Manages booking processes, addressing bookings, cancellations, and modifications with precision and timely execution to meet customer expectations.
  • Coordinates with both internal teams and external service providers to streamline reservation operations and enhance service delivery.
  • Ensures reservation systems are current, precise, and aligned with internal standards and operational mandates.
  • Administers inventory control within the bank, maintaining adequate supplies of office necessities, equipment, and stationery for operational readiness.
  • Collaborates with various departments to uphold robust inventory management practices, including timely reordering and usage tracking.
  • Delivers superior customer service, efficiently handling inquiries, resolving concerns, and ensuring customer satisfaction with all reservation interactions.
  • Maintains rigorous documentation for all reservation and inventory processes, ensuring organization, accuracy, and regulatory compliance.
  • Prepares and analyzes reports to track reservation trends, inventory status, and operational efficiency, providing insights for continuous improvement.
  • Monitors and manages inventory specific to reservation needs, ensuring essential materials are always available for customer requirements.

Adheres to budget guidelines, monitoring expenditures to maintain cost efficiency.

Qualifications and Experience:

  • Diploma in Business Administration or a related field is preferred.
  • Exposure to reservation systems, booking software, and inventory management tools is desired.
  • Proficiency in MS Office suite and competent data entry skills.
