Job Summary

The Procurement Specialist is responsible for executing, completing and ordering daily allocated and authorized purchase requests and orders concerning hotel and storeroom needs. This role requires a strong understanding of procurement processes and procedures to ensure timely and cost-effective delivery of goods and services.

Key Responsibilities:
  • Process all administrative procedures concerning allocated requests and orders from receipt through delivery or service completion.
  • Select the best price and quality quotations for received orders while ensuring optimal delivery schedules based on need and vendor-provided timelines.
  • Clarify any concerns regarding purchase request data directly with initiating department personnel.
  • Coordinate with procurement teams to process and complete orders within established timeframes.
  • Verify and follow up on pending orders through system reports or by reporting concerns.
  • Ensure approved and authorized purchase orders are promptly forwarded to vendors.
  • Monitor daily market list deliveries and report any discrepancies.
  • Review and update personally entered price quotations, supplier information, and date validity.
  • Collaborate with vendors to identify new products that can serve as alternatives for used items, informing relevant parties and requesting samples for testing purposes.
  • Inform about market knowledge, special offers, discounted products, cost-saving substitutes, and possible brand shortages to benefit the organization.

  • Operate in a safe and environmentally friendly manner to protect guests' and employees' health and safety, as well as conserve the environment.
    • Comply with organizational environmental, health, and safety policies and procedures.
