As a key member of our team, we are seeking an experienced Document Management Specialist to join us in providing top-notch document control services. This role involves maintaining the accuracy and efficiency of our document management system, ensuring timely preparation and processing of documents, and coordinating with various departments and external partners.

About the Role

The ideal candidate will have excellent organizational skills, strong analytical abilities, and proficiency in computer software programs such as word processors, spreadsheet programs, and database systems. They will be responsible for managing documents, drawings, and reports, uploading and downloading files from FTP sites, tracking correspondences and transactions, and providing administrative support as required.

Responsibilities
  1. Record Management: Accurately record incoming and outgoing documentation, both hard copy and soft copy, and maintain up-to-date registers of documents and drawings.
  2. Document Processing: Ensure the timely receipt and processing of documentation, including issuing and distributing documents, classifying and sorting documents following specific indexing and filing systems, and archiving and retrieving documents as needed.
  3. Maintenance and Management: Manage documents, drawings, and reports, and perform routine administrative activities required of a Document Control professional.
Requirements
  • A high school certificate or diploma is required.
  • Proficiency in computer software programs such as word processors, spreadsheet programs, and database systems.
  • Excellent organizational skills, strong analytical abilities, and good time management.
