The role of a Project Document Specialist is pivotal in ensuring the seamless management of project documents, facilitating accurate recording, filing, and easy retrievability in accordance with established protocols.
Key Responsibilities:- Implement and maintain a robust document control system to track revisions and ensure accessibility to stakeholders.
- Collaborate with project teams to complete documentation, obtain sign-offs, and archive records in compliance with regulatory requirements.
- Facilitate information flow between departments, ensuring timely document distribution to relevant parties.
- Conduct regular audits to identify areas for improvement and ensure industry standard compliance.
- Provide training and support to team members on document management procedures and tools to promote accountability and efficiency.
- Generate reports on document status, workflow efficiencies, and compliance metrics for senior management review.
- Assist in preparing project documentation for regulatory submissions, ensuring accuracy and completeness.
- Serve as liaison between external stakeholders and the project team to manage document submissions and receipts.
- Leverage project management software and digital tools to enhance document control processes and improve overall project workflow.
Requirements:
- Bachelor's degree in Business Administration, Engineering, or a related field with a focus on document management.
- Minimum 5 years of experience in document control or administrative roles, preferably in construction or engineering sectors.
