Job Title: Document Control Specialist - Project Coordination

Job Description:

We are seeking a highly organized and detail-oriented Document Control Specialist to join our team. The successful candidate will be responsible for managing the lifecycle of project documents, ensuring all are accurately recorded, filed, and easily retrievable in accordance with established protocols.

The ideal candidate will have a strong background in document control or a related field, with experience working on large-scale projects. They will possess excellent communication and interpersonal skills, with the ability to work effectively with cross-functional teams.

Key Responsibilities:

  • Implement and maintain a robust document control system that tracks revisions and ensures the latest versions are accessible to stakeholders.
  • Coordinate with project teams to ensure all documentation is completed, signed off, and archived in compliance with regulatory requirements.
  • Facilitate the flow of information between various departments, ensuring timely distribution of documents to relevant parties.
  • Conduct regular audits of document control processes to identify areas for improvement and ensure compliance with industry standards.
  • Train and support team members on document management procedures and tools to foster a culture of accountability and efficiency.
  • Generate and maintain reports on document status, workflow efficiencies, and compliance metrics for senior management review.
  • Assist in the preparation of project documentation for submissions to regulatory bodies, ensuring accuracy and completeness.
  • Act as a liaison between external stakeholders and the project team to manage the submission and receipt of documents.
  • Utilize project management software and other digital tools to enhance document control processes and improve overall project workflow.

Requirements:

To be successful in this role, you will need:

  • Bachelor's degree in Business Administration, Engineering, or a related field, with a focus on document management.
  • Minimum of 5 years of experience in a document control or administrative role, preferably within the construction or engineering sectors.
  • Certifications in document control or project management
