Job Description

The role of the Clerk involves performing various technical and administrative tasks to support the operations of a facilities maintenance team. Key responsibilities include coordinating activities, managing scheduling and tracking of work orders, updating records, and ensuring compliance with performance work statements and quality management systems.

Key Accountabilities
  1. Create accurate historical records for facilities maintenance assets subject to periodic maintenance.
  2. Ensure facility maintenance record binders and electronic records are up to date from various sources.
  3. Assist in updating real property listings for all sites annually.
  4. Maintain a technical library on facility maintenance and fixed equipment.
  5. Input equipment data and update maintenance details in the computerized maintenance management system.
  6. Log all scheduled and unscheduled work orders for the facilities maintenance team.
  7. Receive and pass completed work orders to the supervisor for review.
  8. Prepare and submit monthly reports on completed and outstanding work orders.
  9. Prepare facilities maintenance related briefings and reports.
  10. Establish a filing system for all office documents, files, and project books related to facilities maintenance.
  11. Accompany facilities maintenance staff on field and site visits as needed.
  12. Perform other duties as assigned.
