Administrative Support Role
We are seeking a highly organized and detail-oriented individual to provide administrative support to our sales team.
Key Responsibilities- Document Preparation: Prepare various documents for the sales team, including reports and presentations.
- Communication Support: Respond promptly to phone, fax, and email inquiries from clients and colleagues.
- Familiarization Visits: Coordinate familiarization visits and site inspections as needed.
- Sales Meetings: Attend monthly sales meetings to discuss sales strategies and goals.
- Mail and Database Management: Manage sales department mail and maintain a correspondence database.
- Direct Mail Campaigns: Assist with direct mail campaigns to promote our offerings.
- Statistical Reports: Compile weekly statistical reports for relevant regions.
- Filing Systems: Maintain filing systems, both manual and electronic.
- Database Updates: Update and manage the database to ensure accurate information.
- Promotional Activities: Support promotional activities and events as requested.
- Trade Shows: Organize trade shows, functions, and exhibitions as advised by supervisors.
- Budget Preparation: Assist with budget preparation and business planning.
- Tender Submissions: Support tender submissions to secure new business opportunities.
- Collaboration: Collaborate with IHG properties and regional sales teams to promote their offerings.
- Advertising Agencies: Liaise with advertising agencies to develop effective marketing campaigns.
- Marketing Materials: Control stock of marketing materials and execute advertising briefs promptly.
- Artwork Creation: Create artwork and contribute to marketing materials for flyers and direct mail campaigns.
- Promotional Flyers: Maintain and update promotional flyers to reflect changing market conditions.
