Tasks:

  1. Plan and make use of available resources to ensure smooth and proper flow of activities to achieve the management targets.
  2. Assisting the Chief Executive Officer in all activities.
  3. Travel arrangements to be made.
  4. Self Correspondence.
  5. Managing documentation with proper filing system.
  6. Monitoring of CEO's phone calls.
  7. To prepare month review meeting report.
  8. To prepare presentations.
  9. Maintain a copy of all indents received from marketing segments.
  10. To attend incoming and outgoing faxes.
  11. To attend inbound and outbound couriers.
  12. Coordination in stationery items management.
  13. Visitors, visa travel, hotel accommodation arrangement etc.
  14. Maintain the Xerox machine and fax machine stationery.
  15. Control of ISO documentation.
  16. Preparation of pre-qualification documents.
  17. Assisting in company profile/catalogue printing.
  18. To attend photography requirement for products/materials.
  19. Coordination with Head Office in the administration activities:
    1. Recruitment - CVs and ERFs.
    2. Annual leave, employee clearance and settlement of leave amounts.
    3. Travel arrangements -- leave and business trips.
    4. Passport renewals, road permits.
    5. Visa and Civil card renewals.
    6. Employee medical card activities.
  20. Coordination with drivers on administration related activities.
  21. Coordination with HR&A on all administrative matters.
Job Specification

Scope and Objective:

  1. Overall responsible for managing CEO's Office.
  2. Assist CEO in all his day to day activities.
  3. Maintaining the dignity and decorum of CEO's Office.
  4. Coordination with all related departments.
