Job Summary

We're seeking an exceptional Meetings and Events Coordinator to join our team. This role involves handling bookings, generating proposals, contracts, and confirmations for MICE customers, while ensuring all lead requests are handled according to policy and within the designated timeframe.

Key Responsibilities
  • Booking Management: Responsible for generating proposals, contracts, and confirmations for assigned MICE customers.
  • Lead Handling: Ensures timely handling of lead requests according to policy and within the designated timeframe.
  • Active Follow-up: Maintains active follow-up on sent offers as per guest requirements.
  • Offer Letters: Prepares personalized offer letters according to guest specifications, meeting company standards.
  • Event Execution: Executes events for Meeting planners, providing exceptional service and attention to detail.
  • Communication: Maintains responsive communication with accounts and prospects, ensuring timely updates and resolutions.
  • Revenue Growth: Assesses group business to maximize revenue contribution from available public space.
  • Sales Strategy: Yields all leads prior to sending out the offer letter, considering venue assignment or rates offered, and seeks approval to confirm the booking.
  • PMS Management: Ensures the Sales and Catering PMS is well managed, maintained, and updated according to company policy and standards.
  • Collaboration: Refers unconfirmed bookings to sister properties when necessary.
  • Event Supervision: Supervises and communicates with Meetings and Events Operations during events, ensuring guest satisfaction throughout.
  • Feedback and Awareness: Seeks feedback on rates, availability, and offer letters from department heads and maintains awareness of available equipment in the hotel.
  • Team Support: Provides functional assistance and direction to the Meetings and Events Operations team.
  • Credit Policy Compliance: Fully complies with the hotel's credit policy by obtaining pre-payment or approved credit letters for all events.
  • Event Orders and Inspections: Prepares Event Orders according to departmental standards and ensures proper distribution, inspecting function areas before events to ensure setups meet customer specifications.
