SOHAR Port and Freezone is a deep-sea port and freezone in the Sultanate of Oman, managed by SOHAR Industrial Port Company (SIPC), a 50:50 joint venture between the Port of Rotterdam and the Sultanate of Oman.

Job Description
  • Follow all relevant departmental policies, processes, standard operating procedures, and instructions to ensure work is carried out in a controlled and consistent manner.
  • Perform as a direct assistant to the head of department.
  • Administrate and execute overall administrative tasks for the Strategy Affairs Department.
  • Coordinate and facilitate department meetings, events, and visits.
  • Process invoices, manage vendor payments, and manage calendars and appointments.
  • Prepare, process, and archive various types of documentation in the department.
  • Monitor the department's expenditure against the budget.
  • Monitor and follow up on department performance dashboards.
  • Ensure department business processes are up to date.
  • Maintain the department webpage and update information as required.
  • Act as the focal point for sharing information, data, and requests from other departments and external stakeholders. Develop relationships with key stakeholders for sourcing and exchanging relevant information.
  • Follow up on the closure of audit observations in coordination with concerned personnel.
  • Establish and maintain a system to share key news and developments regularly.
  • Develop and maintain a system for basic research activities related to business strategy.
  • Establish and maintain a system for analyzing competition, new trends, benchmarking, and government policies.
  • Participate in networking events and provide feedback to the strategic planning team on new developments and trends.
  • Contribute to continuous improvement and sustainability of systems, processes, and practices, considering global standards, productivity, and cost reduction.
  • Ensure compliance with all relevant quality, health, safety, and environmental procedures to guarantee employee safety, product/service quality, and environmental compliance.
Statements and Reports
  • Assist in preparing timely and accurate departmental statements and reports to meet requirements, policies, and standards.
Requirements
  • Bachelor's or Diploma degree in Business, Economics, Engineering, or Administration.
  • 2-4 years of experience in a similar role.
  • Strong influencing and relationship-building skills.
  • Highly proactive and curious.
  • Attention to detail with good research and analytical skills.
  • Good problem-solving skills and effective communication skills in multiple formats.
  • Proficiency in MS Office and relevant computer skills.
  • Excellent planning and organizing skills.
  • Fluent in Arabic and English, both written and spoken.
  • Highly discreet, maintaining confidentiality at all times.
