The contract specialist supports the organization and project team in handling all contractual and related commercial aspects in connection with the contracts with customers, subcontractors, and vendors throughout the entire project lifecycle.
Key Deliverables – to and through the Head of Department:
- Assist in managing the contract lifecycle during project execution and warranty phases, including review and drafting of amendments, contractual documents, and renewal of contracts.
- Provide comments on contractual clauses and requirements.
- Support the change management process, including drafting and reviewing change orders, claims, backcharges, penalties, and defending against incoming claims from customers, subcontractors, and key vendors.
- Safeguard contractual obligations by tracking and issuing notifications timely, monitoring milestones and payments in cooperation with the project team.
- Ensure notification and submission of requests and notices, especially those subject to time limits.
- Monitor all contractual milestones and related payments.
- Advise the Head of Contract Management on any project execution aspect deviating from contract requirements.
- Collect and organize documentation from the Sales Team.
- Identify contractual requirements.
- Ensure accurate control of bid documentation from the day of order receipt.
- Coordinate with internal departments (engineering, QC, logistics) to obtain required documents.
- Submit documentation on the customer portal and by email on time.
- Follow up for documentation approval within the contract's documentation cycle.
- Keep track of documentation status and inform line managers of any delays.
- Take immediate action on customer queries and forward to concerned departments for review.
- Prepare VDRL and MRB indices as per customer requirements.
- Submit MRB within the agreed timeframe, in soft and hard copies.
Job Profile:
Qualifications:
- Degree in Business Administration.
- Knowledge of the cable or energy industry.
- Proven knowledge of EPC suite of contracts.
- Availability for frequent business travels.
Skills/Knowledge:
- Proficient in English.
- Critical thinking and problem-solving skills.
- Planning and organization; Time management.
- Decisiveness, proactiveness, business acumen; Teamwork and communication skills.
- Conflict management, negotiation skills, adaptability, and stress tolerance.
Experience:
- Extensive experience as a contract specialist.
- Proven track record in successfully executing multidisciplinary projects with different customers and contractual frameworks.
Business Understanding:
- Excellent understanding of overall business operations is essential.
