Executive Secretary

Job Purpose:

We are seeking an experienced Executive Secretary to provide high-level administrative support to senior executives in a fast-paced environment.

Key Responsibilities:

Manage daily schedules, appointments, and meetings for top executives. Prepare high-quality correspondence, reports, and presentations. Handle confidential information with discretion.

Organize meetings, including agenda preparation, minutes taking, and follow-ups. Maintain organized filing systems. Coordinate travel arrangements, track pending approvals, and monitor deadlines.

Liaise with other departments and stakeholders professionally and efficiently. Assist in reviewing business documents related to operations, calibration reports, and material sales. Perform general secretarial duties, including managing emails and answering calls.

Desired Candidate Profile

  • Bachelor's Degree in Business Administration or related field.
  • Minimum 5–7 years of experience as an Executive Secretary, preferably in the building materials or industrial sector.
  • Exceptional command of written and spoken English.
  • Excellent knowledge of office management systems and procedures.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and other business tools.
  • Strong organizational and multitasking skills with attention to detail.
  • Professional appearance and demeanor.
  • Ability to work under pressure and meet tight deadlines.
  • High level of confidentiality, integrity, and discretion.
