Reservation Agent Job Description

Job Summary:

  • To efficiently and accurately record and process all reservation inquiries made by phone, email, or fax.
  • To supervise the implementation of safety policies and procedures as per company guidelines.
  • Promote a positive work culture around Alila Resort's core values and brand ethos.
  • Encourage guests to utilize resort facilities and services through active participation in FIT marketing.
  • Maintain good relationships with local travel agents and other external contacts.
  • Understand pricing strategies and sell accordingly.
  • Effectively communicate within the organization at all levels using appropriate communication methods.

Key Responsibilities:

  • Wear the correct uniform and name badges at all times.
  • Take an active interest in employees' welfare, safety, and development.
  • Provide courteous and professional service to guests.
  • Maintain high standards and methods of service as stated in the department's operation manual.
  • Comprehend and adhere to hotel employee rules and regulations.
  • Ensure accurate information about guests is updated in OPMS.
  • Collect and drive guest information while creating reservations.
  • Review daily arrival reports to guarantee data accuracy in the system.
  • Respond to calls and guest inquiries in a timely manner.
  • Implement and enforce company standards and policies.
  • Train and coach team members on Reserve and Opera systems.
  • Coordinate with front office for special requests.
  • Balance room inventory effectively.

Required Skills and Qualifications:

  • Familiarity with up-selling and suggestive selling techniques.
  • High-level product and service knowledge of the resort.
  • Full operational knowledge of Opera and Reserve systems.
  • Able to receive, process, and confirm room reservations.
  • Capable of managing 'no show' reservations through investigation and follow-up.
  • Knowledge of special billing arrangements for groups and conventions.
  • Proficient in updating guest special requests and preferences in trance and special fields.
  • Skilled in selecting and updating correct profiles on each reservation.
  • Ability to update correct VIP codes and attach correct amenities codes in the system.
  • Monitor reservation levels and inform managers of occupancy rates.
  • Maintain knowledge of special rates, offers, and promotions.
