General Job Description

Running regular checks on network and data security. Identifying and acting on opportunities to improve and update software and systems. Developing and implementing IT policy and best practice guides for the organisation. Designing training programs and workshops for staff. Conducting regular system audits. Running and sharing regular operation system reports with senior staff. Overseeing and determining timeframes for major IT projects including system updates, software upgrades, migrations and outages. Managing and reporting on allocation of IT budget. Providing direction for IT team members. Identifying the opportunities for team training and skills advancement.

Maintaining / Creation Master data in SAP for all departments

• Customer Master: Collecting Customer data from Credit Dept along with CR and creating customer master in SAP.
• Creating Vendor Master: Collecting Vendor data from the concerned dept like sales, service, units, or purchase dept, validating data and creating Vendor Master in SAP.
• Assets Creation: New computers, laptops, printers, etc.
• Asset creation for Building / Lands by collecting accurate information from the concerned dept (Finance & Audit).
• Vehicle asset creation.

Master Data creation for Finance

• New Bank account creation or maintaining existing banks.
• New GL code creation.

Master Data creation for Units dept

• Creation of material Hierarchy.
• Creation of material master for units dept along with the moving price.

Master Data creation for Service dept

• Creation of material master for lubricants & other consumables.
• Maintaining cost and selling price for lubricants.
• Maintaining operations codes for labour hours along with the price with respect to franchisee.
• Helping service dept to update the selling price in scrap sales and to help them from delivery to invoice.
• Extension of material code of units (chassis) to service dept for AMC service and SIS contracts.

Support to - Service dept

• Invoice generated wrongly need to cancel or reverse.
• Operation code selection issues.
• Not able to close the job card due to various reasons like mismatch of material ordered and delivered, improper steps followed, etc.
• Purchase order issues for sublet job cards.
• Service contract related issues like, unable to save the contract due to unfilled data in contract or entering of wrong data.
• PDI job card issues which will impact units delivery or invoice.
• Month end issues like clearance of invoice due to technical errors in job card, invoice not posted properly due to various reasons.

Support to - Units dept

• Month end support like delivery of goods issues due to stock transfer issue or kitting/de-kitting issues. Invoice related issues like invoice created but not reflected in finance, foreign invoice issues.
• Being a backup of logistics/planning in case of non-availability of person.

Support to - Parts dept

• Taking additional stock into system (FOC items), Warranty Items.
• Maintaining selling price/WAC for the FOC items if stock added from IT dept.
• Migo/miro related issues.
• Stock transfer related issues like material synchronization issues.
• PACP listed material price updation or adding new material in the list.

Support to - HR dept

• Taking care of payroll related issues – If any error occurs.
• Taking care of employee master data issues – like employee transfer cases, change in cost center, change in organization unit, etc.
• Taking care of off cycle related issue.
• Supporting HR dept for the creation of new position.
• Supporting HR dept for the creation of new airport terminals.
• New wage type creation.

Support to - Finance dept

• Units material costing related help.

Responsible for SAP Basis related issues

• Creating new SAP login ID for user (user profile maintenance).
• Providing New authorizations for the new user.
• Providing additional authorizations for the existing users as per dept approvals.
• Responsible for transport management (Moving transports related to new developments/Changes from one system to another).
• SAP Server maintenance with periodic backups (daily, monthly, quarterly and yearly).
• Communication server issues.
• Creation of new Roles or modifying existing roles.

Year End Activities

• Closing the current year/opening in new year from SD, MM, PM, HR, FICO & MM properties.
• Holiday calendar opening.
• Asset closing activity.
• Inventory adjustment.
• Number range for all the cash journals to be maintained.
• Labour Activity maintenance for new year.
• Mapping cost centers for the new year.
• Maintenance of service cost/Selling price for the new year cost center wise.
• COPA Settings for AMC.
• Closing of previous year service orders.
• Cancelling of old parked documents (finance, parts).
• SAP User license Audit.
• SAP AMC negotiations.

NON SAP Work

• Responsible for IT consumables, negotiating prices with vendors.
• Office 365.
• Biometric machine issues.
• Website development/changes (Coordinating with vendor for new changes, price negotiations, etc).
• Antivirus.

Responsible for new requirements

• Collecting the requirements from other departments and development.

SAP General Work

• Providing data to users/dept based on their requirement (from backend).
• SAP PO creation for assets (vehicles, lands).
• Providing SAP training to the users.
• Helping users in new development testing phase.

EDUCATION & TRAINING

Bachelor's degree in Information Technology, Computer Science, or a related field (Master's preferred).

Knowledge & Experience

Minimum of 8-10 years of experience in IT management, or a related field. Knowledge of SAP HANA, SAP BO (Crystal reports, Universe reports, etc.), SAP BW, BO, ABAP, JAVA, C, C++, COBOL and others.
