Job Description

We are seeking a highly skilled and organized Personal Assistant to join our team at Digital Shadow IT in Dubai.

The successful candidate will be responsible for providing administrative support to the management team, including email management, appointment scheduling, and travel coordination.

The ideal candidate will possess excellent communication and organizational skills, with the ability to work independently and as part of a team.

Responsibilities:
  1. Act as a liaison between the manager and internal/external clients, ensuring seamless communication and resolution of issues.
  2. Manage emails efficiently, checking incoming/outgoing emails and following up on responses as necessary.
  3. Respond accurately to internal and external information requests, maintaining confidentiality and discretion when required.
  4. Schedule and coordinate appointments, meetings, and events, ensuring timely and efficient execution.
  5. Organize travel arrangements, booking flights, accommodation, trains, and taxis, considering budget constraints and logistical requirements.
  6. Take dictation and minutes during meetings, accurately recording key decisions and actions.
  7. Source office supplies, ensuring timely procurement and inventory management.
  8. Produce reports, presentations, proposals, and briefs, using MS Office applications and demonstrating exceptional document production skills.
  9. Maintain the office filing system, ensuring accurate and up-to-date records.
  10. Assist with other ad-hoc administrative and project requirements as needed, exercising flexibility and adaptability.
