Your Impact:

As we scale, we seek an exceptional Omani Executive Administrator to join our mission-driven team. The Executive Administrator will be the CEO's trusted right hand, ensuring seamless operations of the executive office while driving strategic alignment across the organization. You will be responsible for managing administrative tasks and facilitating communication between departments. This role is also a unique opportunity to immerse yourself in high-stakes decision-making, collaborate with global stakeholders, and directly influence the efficiency and culture of a fast-growing tech leader. This position reports directly to the CEO and requires a proactive, organized, and detail-oriented individual who thrives in a fast-paced environment.

Key Responsibilities:

1. Executive Support & Office Management

  1. Serve as the CEO's primary liaison, managing complex calendars, prioritizing commitments, and anticipating needs with precision.
  2. Coordinate domestic and international travel, including visas, itineraries, and expense reporting.
  3. Assist in planning and hosting visits from key stakeholders, partners, and clients.
  4. Prepare executive briefings, presentations, and reports, synthesizing data for strategic discussions.
  5. Safeguard confidential information with unwavering discretion and professionalism.
  6. Manage the CEO's office budget, track expenses, and reconcile corporate credit card transactions.
2. Strategic Coordination & Communication

  1. Facilitate cross-departmental collaboration (HR, Sales, Operations, Finance, Strategy) to align priorities and track KPIs.
  2. Draft and finalize executive communications, emails, and board materials, ensuring clarity and brand consistency.
  3. Monitor critical deadlines, action items, and project milestones, providing proactive updates to the CEO.
3. Operational Excellence

  1. Optimize office workflows by implementing digital tools to streamline document management and meeting follow-ups.
  2. Support the CEO in managing special projects, including research, data analysis, and preparation of project plans.
  3. Lead ad-hoc projects, from market research to operational audits, delivering actionable insights.
  4. Plan and execute high-profile events, including investor meetings, team retreats, and global conferences.
4. Leadership Partnership

  1. Act as a cultural ambassador, fostering collaboration between leadership, clients, and international partners.
  2. Identify process improvements to enhance productivity across the executive team.
Qualifications:

  1. Education: Bachelor's degree in Business Administration, Management, or related field.
  2. Experience: 3+ years as an Executive Assistant/Administrator preferably in tech, startups, or fast-paced environments. Experience working in a multicultural environment is a plus.
  3. Skills:
  • Mastery of Microsoft 365, project management tools, and virtual collaboration platforms.
  • Exceptional organizational agility with a track record of managing competing priorities.
  • Fluent in English and Arabic (written/spoken); additional languages a plus.
  • Strong analytical skills with expertise in data visualization.
