Executive Secretary to CEO in Gulf

Eureka (Pvt) Ltd, Oman is seeking an experienced and highly skilled Executive Secretary to provide administrative support to the Chief Executive Officer. The successful candidate will be responsible for managing the CEO's office, ensuring smooth day-to-day operations, and maintaining the highest level of professionalism and discretion.

Key Responsibilities:

  • Plan and utilize available resources to ensure seamless execution of activities aligned with management targets.
  • Assist the Chief Executive Officer in all activities, providing timely and accurate support.
  • Coordinate travel arrangements, self-correspondence, and documentation management.
  • Monitor the CEO's phone calls and prepare month-end review meeting reports.
  • Develop presentations and maintain a copy of all indents received from marketing segments.
  • Attend incoming and outgoing faxes, as well as inbound and outbound couriers.
  • Manage stationery items, arrange visitor, visa, and travel accommodations.
  • Maintain Xerox machine and fax machine stationery, and control ISO documentation.
  • Prepare pre-qualification documents and assist in company profile/catalogue printing.
  • Coordinate with Head Office on administration activities, including recruitment, annual leave, employee clearance, and travel arrangements.

  • Assist the CEO in all day-to-day activities.
  • Maintain the dignity and decorum of the CEO's Office.
  • Coordinate with all related departments.
